Excessive Absence Expectations
If you would like to utilize the excessive absence policy for a student, you are expected to do the following.
First, have a clearly stated attendance policy in your syllabus. We can't enforce attendance if there is no policy in your class.
Second, communicate with the student. Remind them of your policy and the consequences of not returning to class (administrative withdrawal, grade reduction, etc.). If necessary, encourage them to withdraw from the class on their own, well in advance of the semester withdrawal deadline if possible.
If the student is approaching the excessive absence limit:
- Submit the CARE Form.
- A letter will be sent to the student — the process is outlined below. If the student does not return, inform the staff person that followed up on your initial report to have the student administratively withdrawn.
- All administrative withdrawals must take place prior to the semester withdrawal deadline. The CARE Form should be submitted in advance of the deadline, so that staff have time to follow the procedures outlined below before the student is withdrawn.
When the CARE Form is received:
- The student will be electronically sent one of two letters, depending on their status.
The faculty member will be copied on the letter.
- If it is still possible for the student to pass the class and you would like them to improve their attendance, they will get a letter that warns them they are approaching the limit and could be administratively withdrawn if they do not improve their attendance.
- If it is no longer possible for the student to pass the class and/or they have exceeded the absence limit, their letter will instruct them they have one week to withdraw from the class on their own, or be administratively withdrawn.
- If the first letter is sent and the student does not improve, it is the faculty member's responsibility to inform the staff person who sent the letter that the student needs to be withdrawn.
- The Registrar will withdraw the student and inform them via email.
